You order from the Pharmacy workspace's Home: search Products, browse a category, or use Order again. What you add goes into a Basket: one for Clinic supplies and one per Patient. Front desk can fill Baskets; an Owner, Manager or Practitioner places them.
The Suggested Order
The Home's Suggested Order lists the supplies you usually order and, with the Clinic workspace on, what your next 14 days of Appointments will use, less the stock you have. One button adds them all to Clinic supplies, and Add to their Baskets adds the booked Patients' Prescriptions that are ready to order. See it all opens it in full. It never places anything.
Two kinds of order
- Clinic supplies: devices and consumables bought as stock, at 20% VAT.
- For a Patient: a POM, or a filler, skin booster or thread on that Patient's Prescription, at 0% VAT.
A filler, skin booster or thread can go either way: its Product sheet asks For a Patient or As Clinic stock.
What has to be in place
- Every order needs a saved card on the Organisation, which the Owner adds, because it pays whatever Platform Credit does not cover.
- A POM or named-patient line also needs Organisation Verification, because these go only to an Organisation Clayform has checked. Until then, the Home shows what ordering waits on.
- It also needs a signed Prescription: a POM is never supplied before a prescriber has assessed the Patient in person and written the Prescription. A line can be ordered only inside its window, and waits if the prescriber's Prescriber Credential has lapsed.
Adding a Patient's Prescription
With the Clinic workspace on, the Prescription is written in the Patient's record. Once signed, it shows under Ready to order on the Home and the Baskets page; choose Add to Basket. Adding a POM from the catalogue opens Who is it for?, which lists the signed Prescriptions waiting for it.
At an Ordering-only Clinic, a Patient's order is a New order, saved as you build it. Start it from Who is it for? or from New order on Patients, add Products with Add to Prescription, then Continue. A prescriber attests the face-to-face and signs with Sign with PIN; anyone else saves it for the prescriber, and it waits on their Pharmacy Home. Once signed, its lines go into the Patient's Basket.
Placing
Open Baskets. Each Basket ready to place is ticked; untick any to keep back. The Placing panel shows the parcels and totals.
A Patient's Basket ships to the Clinic. Its Ships to can switch to the Patient's home only when every line is Self-administered, and the option says what else is missing.
A line that can't be ordered says why and links to what to open: the Pharmacy Order that holds it, or the Prescription to order from. A line over the Supply Limit is marked but stays placeable. A line out of stock at the Pharmacy, or goods under the minimum order, block the Placing; the panel says why.
Accept the Pharmacy terms and choose Place. You get one Pharmacy Invoice, and one Pharmacy Order per parcel. If the card fails, the Baskets stay locked until you choose Retry with the saved card or Abandon this Placing.
Once placed, see Following a Pharmacy Order for what happens next.
