  1. Booked online, paperwork done at home.

    Patients book from your Clinic Page or the Directory, and pay the deposit or save a card before the Booking is confirmed. Medical History and Consents are completed in the Patient Portal before the visit.

  2. Assessed in person, then prescribed.

    UK regulators require an in-person examination before every prescription for an injectable cosmetic medicine. Clayform only offers a prescription-only Service when a prescriber will be there, and the Prescription is written after the Prescriber Assessment.

  3. Ordered from the pharmacy, straight from the Prescription.

    A signed Prescription fills that Patient's Basket at Premier Chemist, Clayform's UK pharmacy partner. Devices and consumables go in a supplies Basket, and one Placing pays for both on one Pharmacy Invoice.

    • Named-patient orders sent with the Prescription attached
    • Lot and expiry arrive with the order and become Stock Items
    • A Suggested Order from the next 14 days of Appointments

  4. Treated and recorded, then locked.

    Consent is confirmed in the room. Your Practitioner takes Clinical Photos, maps each injection site on the frontal photo and signs the Treatment Record once every Record Requirement is met.

    • An AI notetaker drafts notes from the recorded Consultation for you to approve
    • Signed records lock; later changes are Amendments
    • Clinical records kept for eight years

  5. Paid at Checkout, with no-shows covered.

    Each Service has one cancellation charge: take it up front as the deposit, or keep it on the saved card. A late cancel and a no-show cost the same, and a deposit is the most a Patient can lose.

What does Clayform cost?

Free to set up, then £1 a month for 3 months once you go live, then from £49 a month set by your Appointments. No per-seat fees. Clayform takes a Platform Fee when a Patient pays you by card (2.4% + 20p online, 1.9% + 10p on Terminal) and nothing on cash. Pharmacy Orders carry a Pharmacy Margin of 0% today. See every fee

Who is Clayform for?

Independent UK aesthetics clinics, from a solo practitioner (a Clinic of one) to a clinic of around fifty staff. Each Organisation runs one Clinic today; groups with several sites come later.

Do I need a prescriber on my team?

No. Everything that is not prescription-only works from day one. Prescription-only Services go live once a Practitioner with a Prescriber Credential works at your Clinic, or on the days you have claimed a Visit Day from a Marketplace Prescriber.

What can I use before I am verified?

Almost everything: the calendar, Services, Patients, Consents, Messages and your Clinic Page work straight away. Online payments switch on once your Stripe payouts are set up, Practitioners treat once they are Verified, and the Directory lists you after Organisation Verification. Clayform reviews Verifications within one working day.

Where is Patient data kept?

Clinical records and photos are stored in the UK and EU, with the database and files in London. Clinical content leaves only for consultation transcription, on an EU endpoint, and note drafting, by OpenAI in the US, which keeps it for up to 30 days to check for misuse and never trains on it. Messages and calls never carry clinical content. See our sub-processors

Can I bring my Patients from my old system?

Yes. Upload a CSV of your Patients' contact details and dates of birth and Clayform matches it against your records. Clinical history is not imported.

Can I keep my phone number?

Every Clinic gets its own UK mobile Clinic Number at signup, at no cost to you. Forward your existing number to it and calls and texts run through one line.

Does it work with my accounting software?

Connect QuickBooks Online or Xero and Clayform sends a document for every Payment, payout and Clayform bill from the day you connect. Practitioners can push Appointments to their Google Calendar, and Mailchimp receives the Patients who opted in to email marketing.

Is there an app to install?

No. Clayform runs in the browser on a desktop, tablet or phone.
