When you sign up, your Clinic opens on its Setup page instead of the full app: the Setup Checklist one step at a time, in groups. Only Owners and Managers see it.
Each step has Back, Skip for now and one button that saves it and moves you on. Everything saves as you go, so choose Finish later whenever you like: your Home shows a card that takes you back, and Finish setup sits in the app's header until you are done.
The steps, in order
- About you: Your Verification and your Signing PIN, if you treat Patients here yourself.
- Your diary: Opening hours, Your first Service, who treats Patients (Add me as a Practitioner, or invite them; the step lists everyone you invited, whether they have accepted and what each still has to do, with Remind and Resend), Working hours and A time Patients can book.
- Payments and checks: Get paid with Stripe, A card for Clayform, Your identity check and Your business checked, which is Organisation Verification. Clayform checks your business against an Owner's identity, so the identity check (your photo ID and a selfie, once) comes first; if you treat here it is part of your own Verification instead.
- Go live: starting your Subscription.
- Your Clinic Page: Photos of your Clinic, About your Clinic and each Practitioner's photo and bio. A logo, cover photo or Practitioner photo opens to be positioned first: drag it and zoom until it sits right in the frame. Adjust does the same for one that is already up, here or under Settings › Clinic Page. An SVG logo goes up as it is, and has no Adjust.
- Optional extras: the AI Receptionist, Patient Import, a Calendar or Accounting Connection and inviting your team. Nothing waits on these.
What must be done before Bookings
A step marked Required keeps the Setup page open: your Clinic cannot take a Booking, be paid or order without it. For example:
- Nobody is offered for a Booking outside their own working hours.
- Deposits, online payments, pay links and card readers pay out to your bank through Stripe.
- Online booking and the Directory open once Organisation Verification passes, and so do Pharmacy Orders with a POM line. Bookings your team makes don't wait on it.
- Bookings, texts to Patients and the Directory wait on going live, which needs the card first.
A time Patients can book is Clayform's own check: it looks for a time a new Patient could book online and, if it finds none, says why and offers Check your Services.
Only the Owner does the Stripe, card, identity check, Organisation Verification and Go live steps; a Manager sees who does them. The Clinic Page steps are Recommended: the Directory ranks complete pages higher, but they never hold you up.
Clayform's checks
What Clayform checks sits beside the steps: Organisation Verification and, if you treat here, your own Verification, each reviewed within one working day, with an email when it's done. They are the only wait, so start them first. When everything left waits on Clayform or a colleague, the page says Clayform is checking your details, with what you can already do meanwhile: once you've gone live and a Practitioner whose Verification is approved performs one of your active Services, Book a Patient books at the desk while online booking waits for the business check.
Finishing
Once every required step is done, choose Finish setup. You see Setup finished, your Clinic Page's address to copy, and Book your first Patient.
Afterwards, your Home's Clinic Page card shows Make your page stand out while a recommended step is left, and the extras you skip stay on Explore. Until your first Patient, the Home offers only Bring your Patients over, with Import Patients or Not now; after that, Make more of Clayform waits for your 10th completed Checkout. If something comes undone, such as a new Practitioner who is not ready, the Setup Checklist comes back on your Home.
The menu starts short too: Home, Calendar, Inbox, Patients, Sales and Settings, with the rest under More at its foot until your Clinic uses it. Choose ⋯ beside an entry to Move to the menu or Move under More.
Your team's own steps
Practitioners, Front desk and Visiting Prescribers never see the Setup page. Practitioners do their own Verification, Signing PIN and, for a prescriber, Stored Signature from the card at the top of their Home, which counts the steps left before their first Patient and takes them from each step straight on to the next. A Visiting Prescriber's card counts the steps before their first Visit Day. Front desk need none. Where your setup waits on one of them, the step names them.
An Ordering-only Clinic
Its steps are About you if you prescribe, or Your prescriber if you don't, then Your account with A card for your orders, Your identity check (unless your own Verification above covers it) and Your business checked. Once finished, choose Start your first order.
